Lease Agreement Administrator at the Swedish Prison and Probation Service

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Our most important goal is to reduce recidivism – to break the vicious cycle. If we succeed, society will be safer and more secure for everyone. We are the authority responsible for prisons, probation, detention centers, and client transport.

The Management Unit is part of the Property Department of the Swedish Prison and Probation Service. The unit consists of two sections focused on management related to existing operations and a contract group responsible for the authority's overall portfolio regarding lease agreements. Currently, the unit has about thirty employees who collectively handle a complex assignment concerning all facilities of the Swedish Prison and Probation Service.

JOB DESCRIPTION

As a lease agreement administrator, you will have a varied role and become an important key player in our group. You will work with the management and administration of the authority's lease agreements together with lease agreement specialists and other administrators. You will also collaborate with project managers and management leaders and provide support to them on various contractual issues. Ongoing cooperation also occurs with the property owners from whom the Swedish Prison and Probation Service rents.

In the role of administrator, you will be responsible for receiving quotes, contract drafts, and finalized agreements. You will ensure the signing of agreements, register them in the property system Pythagoras, and handle archiving. Additionally, you will be responsible for preparations, i.e., organizing which cases should be prepared and for taking notes. Furthermore, you will review rental invoices, prepare documentation for changes in terms and terminations, prepare for negotiations, and maintain contact with the rental tribunal. You will also report new agreements and contract changes to the Swedish National Financial Management Authority and administer and follow up on project guarantees and final settlements.

We are looking for someone who has:

• Academic education in property management or other education combined with experience deemed relevant by the Swedish Prison and Probation Service
• Experience in similar tasks within the property industry
• Experience in contract management
• Knowledge of rental law and contractual issues
• Very good knowledge of handling various types of system support such as Pythagoras
• Very good knowledge of the Office suite
• Very good ability to express yourself in both spoken and written Swedish

It is meritorious if you have:

• Experience in local supply within public operations
• Experience in lease negotiations
